10. Planer for Workshop Organizers

Planer (planer.radionice.com.hr) is an additional service of the Radionice platform intended for workshop organizers to manage schedules, bookings, and attendees. Within Planer, we process personal data entered into the system by organizers, as well as data on the usage of the system itself.

When using Planer, the workshop organizer is typically the data controller of their attendees' personal data, while Radionice is the service provider acting as a data processor according to the organizer's instructions, in accordance with applicable personal data protection regulations (GDPR).

11. Personal Data in Planer

Within Planer, we may process the following categories of personal data:

• Organizer Data: Name and surname, business entity name, PIN (OIB), contact details (email, phone), billing and invoicing data.
• Workshop Attendee Data: Name and surname, contact details (email, phone), selected workshops, dates, booking status (confirmed, waitlist, cancelled), organizer's notes related to workshop participation.
• Planer Usage Data: Date and time of logins, IP address, technical logs, and system usage data, for security purposes, prevention of abuse, and service improvement.

Note: Data about attendees is entered into Planer by workshop organizers, who are obliged to ensure they have a valid legal basis for processing (e.g., contract, legal obligation, or consent).

12. Purpose and Legal Basis of Processing in Planer

We process personal data in Planer for:

• Enabling organizers to manage workshops, schedules, and attendee bookings
• Sending notifications related to workshops (e.g., booking confirmations, schedule changes) when necessary for service execution
• Maintaining system security and stability and preventing abuse.

The legal basis for processing organizer data is the execution of the contract for using Planer and fulfillment of legal obligations (e.g., accounting documentation). The legal basis for processing attendee data in Planer is under the jurisdiction of the organizer as the data controller.

13. Data Retention Periods in Planer

We keep organizer data for the duration of the contractual relationship and for the period prescribed by applicable regulations (e.g., accounting documentation). We keep attendee data as long as necessary to provide the service to the organizer, or until deletion by the organizer or expiration of the contractual relationship, unless longer retention is required by legal obligation.
